Contract Preparation and Signing Process

  1. Proposal Stage and Preliminary Agreements:
    1. Framework Agreement, Group Procurement Ethical Rules, Sustainable Procurement Policy, and, if necessary, Confidentiality Agreement are shared with candidate firms during the supplier and product selection stage.
    2. Work Agreements containing technical and commercial information can also be signed.
  2. Contract Responsibilities:
    1. Confidentiality Commitment and Framework Agreement are executed by the Procurement Officer.
    2. A Work Agreement describing the relevant product or service can also be made.
    3. All pages of the original copies of procurement contracts must be signed by the suppliers according to their signature circular. Suppliers must share their signature circulars.
  3. Cases Requiring Advance Payment:
    1. In cases requiring advance payment, a guarantee letter equal to at least the advance amount is obtained from the supplier.

Contract Negotiation and Approval Process

  1. Negotiation Stage:
    1. The prepared contract draft is sent to the firm, and negotiations begin.
  2. Approval Process:
    1. The approval process of procurement contracts is tracked through internal and external approvals.

Continuity and Extension of Contracts

  1. Contract Extension:
    1. Purchases are not made under expired contracts or those without an extension protocol. A new contract or extension protocol is executed.
    2. Market research is conducted to extend existing agreements for the next term, and the process continues with the current supplier by proving advantageous commercial terms.
